This difference decides what your reports can answer. In Zendesk, almost everything is a ticket. In Freshservice, each ITIL process has its own record.

Zendesk's model suits request and incident volume, which is what a help desk ticketing system is designed for. It gets harder to report on changes that caused incidents, or on services that depend on a failing server. Freshservice lets assets relate to services as well as to other assets, such as a payroll service linked to its database assets (Freshservice, as of 1 Oct 2026).

In a migration, a Zendesk problem ticket can land as a Freshservice problem record only on a plan that includes problem management, which starts at Pro (Freshworks, as of 1 Oct 2026). On a lower plan, those links flatten into incident tickets.

The meters do not convert. Estimate how many requests AI would close on its own and how many agents need an assistant, then ask each vendor to price that volume. AI that reads past tickets also needs that history in the platform.

Total cost factors that a price sheet hides
- Where problem and change sit. Freshservice Pro and Zendesk Employee Service Suite Professional cost the same per agent. Only Freshservice Pro lists problem, change and release management.
- Asset metering. Zendesk includes 500 assets from Suite Growth and sells packs of 500 for $100 a month (Zendesk, as of 1 Oct 2026). Freshservice includes 100 asset units, and a server, VM or network device uses 4 units while a desktop or laptop uses 1 (Freshservice, as of 1 Oct 2026).
- Non-IT agents. Freshservice sells a Business Agent License for other departments at $49 per agent per month (Freshworks, as of 1 Oct 2026). On Zendesk, those teams may already be on your account.
- Switching cost. Rebuilding workflows and moving history is a one-off cost that belongs in any comparison.
Which should you choose? Five questions
- Does IT need problem and change records, or linked tickets? Reporting on root causes and change success favors Freshservice's separate records. Linking incidents to a problem ticket works in Zendesk.
- Who else uses the platform? If customer support runs on Zendesk and shares admins with IT, staying keeps one platform. If IT works alone, a dedicated ITSM desk loses little.
- How deep does your asset data go? An asset register attached to tickets suits laptops and phones. Servers, services and dependencies point to a CMDB.
- Which AI meter suits your volume? Per-resolution billing suits high request volume with simple answers. Per-seat Copilot suits fewer, more complex tickets.
- When is your renewal? A switch needs a test migration and a parallel run, so decide before your notice date.

Getting data out of Zendesk
Zendesk data exports run on Growth, Professional, Enterprise and Enterprise Plus, not Team, and the account owner must ask Zendesk to enable them. CSV exports leave out comments, and JSON exports drop comments on any ticket with more than 1 MB of data (Zendesk, as of 1 Oct 2026). Zendesk archives tickets 120 days after they close (Zendesk, as of 1 Oct 2026), and archived tickets are left out of some ticket endpoints (Zendesk developer docs, as of 1 Oct 2026).
For full history, plan on the API. Incremental exports return up to 1,000 items per page (Zendesk developer docs, as of 1 Oct 2026) at 10 requests per minute as standard (Zendesk developer docs, as of 1 Oct 2026). Loading data into Freshservice
Freshservice's bulk migration APIs import tickets and notes with attachments: 50 records per request, 10 requests per minute per account, and 40 MB of attachments per entity. Problems, changes and assets go through the standard public APIs, and Slack, Teams, business rules and workflows "will not be muted" during the load (Freshservice, as of 1 Oct 2026). Approved migration partners can get a token that raises the public API limit to 700 calls per minute (Freshservice, as of 1 Oct 2026). Switch off workflows first.
