Methodology: we compared vendor pricing pages, product docs, release notes and the PeopleCert registry with G2 review data, all checked on 12 Oct 2026. No vendor reviewed or paid for this article. We did not run hands-on tests.

This Freshservice vs SysAid comparison shows two platforms that cover the same core ITIL processes. The choice comes down to how each prices modules and AI, where each can host your data, and how much admin effort reviewers report. Freshservice publishes three prices, from $19 to $99 per agent per month, plus a custom Enterprise tier. SysAid publishes one, $89 for Professional, and quotes Enterprise from 20 agents. If you run SysAid today, the last sections cover what moves, what gets rebuilt and what is at risk.

Key takeaways

  • Freshworks lists $19, $49 and $99 per agent per month billed annually. SysAid lists Professional at $89 per agent per month, billing period not stated (vendor pricing pages, as of 12 Oct 2026).
  • G2 rates Freshservice 4.6 out of 5 from 1,362 reviews and SysAid 4.5 from 753. Ease of use scores 9.2 vs 8.9 on G2's compare page (G2, as of 12 Oct 2026).
  • The PeopleCert registry lists 14 certified ITIL practices for Freshservice and 11 for SysAid, certified on different product versions, so the counts are not a ranking (PeopleCert registry, as of 12 Oct 2026).
  • SysAid includes Copilot in both plans. Freshservice sells Freddy AI Copilot as a $29 per agent per month add-on (vendor pricing pages, as of 12 Oct 2026).
  • SysAid says it keeps service data for 2 years on Professional and 7 on Enterprise before automatic deletion (SysAid pricing page, as of 12 Oct 2026).

Freshservice vs SysAid: the short answer

Both products cover incident, request, problem, change and asset management. Freshservice is the easier read on price and, per G2 reviewers, on ease of use (ease of admin 9.0 vs 8.8, setup 8.8 vs 8.5). SysAid bundles AI into its per-agent price and offers a single-tenant hosting option. Use the table as a filter, then test it against the five questions below.

TopicChoose Freshservice ifChoose SysAid if
Price transparencyYou want to budget from public numbers: $19, $49 and $99 per agent per month, annualOne public price ($89 Professional) and a quote for Enterprise, from 20 agents, is enough

Plan gating differs more than feature lists suggest. Freshservice makes problem and change a Pro purchase at $99, while SysAid lists both in its $89 plan. The registry counts are not comparable one for one: both entries were assessed against PeopleCert's Service Management Version IV criteria, Freshservice's for product version 2022.R02L.01 and SysAid's for version 24.1, and neither states a level. SysAid's own accreditation page lists seven practices and a Silver badge, so confirm current scope with the vendor.

Data model: assets, CMDB and the record model

The difference that matters in a migration is how each product connects records to configuration items.

SysAid's CMDB has six predefined CI types: Asset, Software Product, Catalog, Company, End User and Administrator, plus custom types. Relations are directional, with three predefined types (Consists/Part of, Installed on/Contains SW, Hosts/Hosted on), and a service record points to its CI through a Main CI field (SysAid CMDB guide, as of 12 Oct 2026). Between records, SysAid Spaces supports Parent of, Child of, Caused by, Causes, Blocked by, Blocks and Relates to. A record holds 50 related items, parent-child links go to 100, and a child's status is locked to its parent (SysAid documentation, as of 12 Oct 2026).

Freshservice links assets with default or custom relationship types, each with normal and inverse directions, and supports asset-to-service relationships (Freshservice support article, modified 10 Mar 2026). The CMDB sits in the ITAM Growth package and above (Freshworks ITAM pricing page, as of 12 Oct 2026). Its priority matrix, Impact x Urgency, applies to incidents only (Freshservice support article, modified 20 Jun 2024).

QuestionFreshserviceSysAid
What counts toward the asset limit?Asset units: server, VM or network device 4, desktop or mobile 1250 managed assets included; extra packs sold separately
How do tickets link to CIs?Not covered in the relationship article we read; confirm in a trialMain CI field; CI links on a record use only "Causes" and "Related to"
Where does priority come from?Impact x Urgency matrix, incidents onlyNot covered in the documentation we read; confirm before mapping

The two link structures differ, so moving between them is a mapping decision, not a copy.

AI compared: Freddy AI vs SysAid Copilot

The vendors bill AI differently. SysAid bundles it into the per-agent price. Freshservice meters it by add-on, session and transaction.

SysAid says both plans include a Copilot chatbot for end users and one for agents. Its documentation lists case summarization, sentiment detection, suggested categories, rewriting help and weekly insight emails, and says the chatbot answers from a Data Pool of service records, Q&A sets, knowledge articles, documents and URLs. Professional adds prebuilt AI agents and 100K Workato credits. Enterprise adds tailor-made agents and 300K credits (SysAid pricing page and documentation, as of 12 Oct 2026). The page calls this "unlimited agentic AI", a vendor claim. The Copilot documentation does not describe credit use, so ask how credits are consumed.

Freshservice sells Freddy AI Copilot at $29 per agent per month (Freshworks pricing page, as of 12 Oct 2026). The pricing page lists it as an add-on for Pro and Enterprise. Freddy AI Agent (Classic) is an Enterprise feature with 1,200 sessions per year per license. Orchestration transactions run 1,000, 2,000, 5,000 and 20,000 per month by plan, with extra packs at $250 per 1,000. AI Agent Studio is free for eligible customers through 31 Dec 2026, and Freshworks says pricing will follow.

Pricing and TCO

Freshservice prices by tier, and SysAid by plan with a quote at scale. The tier you need for problem and change decides most of the gap. Here is a worked example with assumed inputs, not a benchmark: 50 agents, list prices, 12 months, no discounts.

ScenarioAnnual list cost
Freshservice Growth, 50 agents ($49)$29,400
Freshservice Pro, 50 agents ($99)$59,400
Freshservice Pro plus Copilot (+$29 per agent)$76,800
SysAid Professional, 50 agents ($89, if that is the rate you pay)$53,400

Freshservice Growth is cheapest only if you can live without problem and change. At Pro, SysAid's list price is $10 per agent per month lower, but SysAid does not state its billing period and Freshservice's figures assume annual billing.

What list prices leave out:

  • Assets. Freshservice publishes ITAM units from $125 per month per 500. SysAid includes 250 managed assets and does not publish pack prices.
  • Metered AI. Freshservice orchestration packs cost $250 per 1,000 transactions. SysAid's pages do not say what happens when Workato credits run out.
  • Support and hosting. SysAid's Gold Service Package is a Professional add-on with a 20-agent minimum. A private AWS instance, custom URL and sandbox are Enterprise-level.
  • Retention. SysAid Professional deletes service data after 2 years, per its pricing page. Longer history means Enterprise or an archive.

Which should you choose? Five questions

  1. Do you need on-premises or single-tenant hosting? SysAid says it offers on-premises and cloud deployment and sells a single-tenant AWS instance on Enterprise. If isolation is a hard requirement, ask SysAid what is available for new contracts.
  2. Which ITIL processes run on day one? If you need problem, change and release, compare Freshservice Pro with SysAid Professional line by line. For incident and request only, Freshservice Growth is the lowest list price here.
  3. How big is your asset estate? SysAid includes 250 managed assets. Freshservice meters units, where a server counts as 4. Count devices against both models first.
  4. Where must data live, and for how long? SysAid's data storage page lists US, EU and AU, and a UK data centre opened on 23 Jun 2026. Freshservice lets you choose a location on every plan. SysAid retention is 2 years on Professional and 7 on Enterprise.
  5. How will you pay for AI, and who administers it? Bundled AI suits teams that want one price. Metered AI suits teams that want to start small. G2 reviewers rate Freshservice slightly higher on ease of admin (9.0 vs 8.8), which matters without a dedicated platform owner.

Moving from SysAid to Freshservice

If you are weighing a SysAid alternative and Freshservice is on the shortlist, treat the move as a data and rebuild project, not a CSV import. MigrateX runs this kind of move as a controlled change: mapped, test-migrated, cut over with delta sync, reconciled and signed off.

MovesRebuiltAt risk
Agents, requesters, departments and locations through Freshservice CSV importsWorkflows, rules, escalations and other automationsLinks between records (parent-child, caused-by, blocks) and CI links

Attachments over 40 MB, which are rejected while the parent record is still created

Export options from SysAid

  • User interface. SysAid Spaces exports a queue or selected records to CSV, with the visible columns. The documentation says "there are no size limitations" and does not say whether notes or attachments are included (as of 12 Oct 2026).
  • REST API. Service records, notes, activities, assets and CIs have endpoints. Lists page with limit (default 20, maximum 500) and offset, and the account limit of 1,000 requests per 5 minutes averages 200 a minute (SysAid developer portal, as of 12 Oct 2026).
  • Gaps. The endpoint index lists attachment upload steps but no download endpoint, and the CMDB documentation does not describe a CI export. Ask SysAid how to extract attachments and CI relations.

Freshservice import limits

  • Bulk API. Tickets and notes only, 50 per request, 10 requests per minute per endpoint, 40 MB per entity. Freshworks marks the limits "to be confirmed post load testing" (support article, modified 24 Nov 2025). A migration token raises the API limit to 700 per minute for an approved window (support article, modified 21 Mar 2025).
  • Standard API. 100 to 500 calls per minute by plan, 100 records per page, and ticket creation capped at 50, 80, 140 or 160 per minute (Freshservice API documentation, as of 12 Oct 2026).
  • Everything else. Requesters, agents, departments, locations and assets go through CSV imports. We found no Freshservice support article for a self-service ticket import (as of 12 Oct 2026). The API lists SLA policies but does not create them, so configure them by hand.

Checklist: before you switch from SysAid to Freshservice

  1. Confirm which SysAid interface (Classic, Spaces or hybrid) and plan your instance runs.
  2. Check your retention window and export anything older than 2 years if you are on Professional.
  3. Count tickets, notes, attachments, assets, CIs and relations, and flag any attachment over 40 MB.
  4. Pick the Freshservice plan against the modules you need: Pro for problem, change and release.
  5. Price asset units against your device count, and decide where SysAid Company and End User CIs land.
  6. Export service records, notes, activities and CIs, and confirm how attachments and CI relations are extracted.
  7. Map statuses, priorities and note visibility, including the incident-only priority matrix.
  8. Document SLA agreements, escalations and workflows for rebuild, and decide how historical SLA results are kept.
  9. Agree who requests the Freshservice migration token (a partner-level process) and the window.
  10. Pause Slack, Teams and workflow notifications before the first load.
  11. Run a test migration, reconcile counts and links, then plan cutover with a delta sync, hypercare and a rollback point.
  12. Keep SysAid read access until reconciliation is signed off.

Methodology

We read vendor pricing pages, documentation, API references, release notes, the PeopleCert registry and G2 pages on 12 Oct 2026. Where a page did not state a fact, we say so rather than infer it. The cost table uses list prices and assumed inputs, and is not a quote. We did not run hands-on tests or contact either vendor. Disclosure: MigrateX, the publisher of this article, runs ITSM data migrations, including between platforms named here. No vendor reviewed or paid for this article.

About MigrateX

With 20 years in enterprise ITSM, we've seen what breaks when a service desk changes platforms: SLA clocks reset, CI relationships disappear, and years of ticket history get scoped out to protect a go-live date. MigrateX moves that history intact, with tickets, attachments, relationships and audit trails, so your new platform starts with the record your team already trusts.
