The right Freshservice alternative depends on why you are leaving. For deeper ITIL processes and a large CMDB, ServiceNow ITSM or BMC Helix ITSM fit. For lower or flatter per-agent cost, ManageEngine ServiceDesk Plus, Jira Service Management, HaloITSM and SysAid make the usual shortlist. This guide is for Freshservice customers hitting plan limits or facing renewal. There is no single best Freshservice alternative. Freshservice rates 4.6 out of 5 from 1,359 reviews (G2, as of 7 Oct 2026), and Freshworks says it was named a Leader in the 2026 Gartner Magic Quadrant for IT Service Management Platforms (Freshworks press release, 29 Jul 2026). Teams switch to close a specific gap, so match the platform to the gap.

Why teams look beyond Freshservice

The search often starts at a plan boundary, when the next practice a team needs costs a full plan upgrade, and it tends to surface at renewal.

A Growth customer that needs change management moves from $49 to $99 per agent per month for every agent, not only the change managers. That roughly doubles the per-agent bill.

Add-ons and caps. Freddy AI Copilot is a $29 per agent per month add-on, and orchestration transactions are capped at 1,000, 2,000, 5,000 and 20,000 a month by plan (Freshworks pricing page, as of 7 Oct 2026). Downgrading is not a clean escape: Freshservice shows a pop-up listing the features "and their data which you'll lose," and the change takes effect at the end of the billing period (Freshservice support, as of 7 Oct 2026).

ITIL depth and customization. Missing features and limited customization are among the most-mentioned cons in Freshservice's G2 reviews. They matter most for complex change approvals or a CMDB that has outgrown the model.

1. ServiceNow ITSM

What it is: the enterprise ITSM platform, sold as Foundation, Advanced and Prime. Foundation covers service catalog, incident, asset management and CMDB; Advanced adds problem, change, major incident and on-call (ServiceNow pricing page, as of 7 Oct 2026).

Best for: large organizations that need deep process control and a mature CMDB.

Pricing: no public prices; the page offers "Get Custom Quote."

Migration notes: data usually enters through the Import Set API, which stages rows and applies transform maps; insertMultiple runs asynchronously by default (ServiceNow docs, as of 7 Oct 2026).

2. Jira Service Management

What it is: Atlassian's service management product, sold in the Service Collection: Free (up to 3 agents), Standard $20, Premium $51.42 per agent per month, Enterprise on quote. Problem and change management are on Premium and Enterprise (Atlassian pricing page, as of 7 Oct 2026).

Best for: IT teams whose developers already work in Jira.

Rating: 4.3 out of 5 from 986 reviews (G2, as of 7 Oct 2026).

Migration notes: Atlassian recommends about 1,500 work items per CSV file, roughly an hour each. Comments imported into a service space become public, and statuses map only to existing workflow statuses. SLAs calculate from issue history, so closed issues imported by CSV keep counting unless you flag or bulk-transition them (Atlassian support, as of 7 Oct 2026).

3. ManageEngine ServiceDesk Plus

What it is: Zoho's ITSM product in Standard, Professional and Enterprise editions, on-premises or cloud.

Best for: cost-sensitive teams and on-premises buyers. A Freshservice vs ManageEngine comparison usually turns on a lower entry price against separately priced problem and change.

4. Ivanti Neurons for ITSM

What it is: Ivanti's ITSM platform. Ivanti says it deploys "cloud, on-premises or as a hybrid combination" and that 14 core ITIL 4 processes are PinkVERIFY certified (Ivanti product page, as of 7 Oct 2026).

Best for: on-premises or hybrid hosting with broad ITIL coverage. In a Freshservice vs Ivanti decision, hosting is usually what decides.

Best for: mid-sized IT teams that want change and CMDB without the top plan.

Best for: teams tired of plan gating.

Pricing: £66 per agent per month billed annually.

Rating: 4.7 out of 5 from 44 reviews (Capterra, as of 7 Oct 2026).

Migration notes: Halo offers CSV imports and built-in migrations under Configuration > Migrations; its guide names ServiceNow, ConnectWise and Autotask, not Freshservice (HaloITSM guide, as of 7 Oct 2026). Confirm the Freshservice route before you sign.

8. SysAid

What it is: an ITSM platform with Professional and Enterprise plans, both including request, incident, change and problem management, asset management and an AI Copilot (SysAid pricing page, as of 7 Oct 2026).

How to choose a Freshservice alternative

Answer these five questions before you book demos.

  1. Which gap are you closing? Name the one or two capabilities your Freshservice plan lacks. Problem and change at lower cost points to HaloITSM, SysAid or ManageEngine; CMDB depth and scale to ServiceNow or BMC Helix.
  2. Do you need on-premises or hybrid hosting? ManageEngine and Ivanti document on-premises options.
  3. What is the full bill at your agent count? Price the plan with every practice you need, plus add-ons, for every agent. Compare that, not entry prices.
  4. How much history must move? Full history with conversations, open work only, or an archive. That choice drives export effort, API time and cost more than the platform does.
  5. Who rebuilds the configuration? Workflows, SLA policies, business rules and the service catalog are rebuilt on any target. Confirm who does it before you set a cutover date.

Leaving Freshservice: export options and limits

Freshservice offers several ways to get data out, and each has a ceiling that sets the real size of the switching project.

Ticket exports. List-view exports to CSV or Excel are capped at 10,000 tickets per export and leave out service request item fields. For full conversation history, Freshworks recommends the API or an account-wide XML export (Freshservice support, as of 7 Oct 2026).

Account-wide XML export. An admin can export "the entire service desk data, in XML format" from Admin > Account; the file is emailed to the registered agent address (Freshservice support, as of 7 Oct 2026). The article does not list which modules it includes, so test it early.

Other modules. Changes export to CSV or Excel. An "All Assets" export carries only the default fields shared across assets, so type-specific fields need one export per asset type (Freshservice support, as of 7 Oct 2026).

The API. Complete history comes through the API. These limits apply to accounts created on or after 1 September 2020:

Two details shape extraction. List endpoints return at most 100 objects per page, and List All Tickets returns only tickets created in the past 30 days unless you use the updated_since filter. Conversations need a separate call per ticket (Freshservice API docs, as of 7 Oct 2026). A large history therefore runs into the per-minute limits, so start extraction well before renewal.

What has no export path. The API documentation lists no Workflow Automator endpoints, and SLA policies can be listed but not created (Freshservice API docs, as of 7 Oct 2026). Workflows cannot even be copied between Freshservice workspaces (Freshservice support, as of 7 Oct 2026). An SLA policy holds a time-priority matrix, business or calendar hours, and up to four resolution escalation levels plus one response level (Freshservice support, as of 7 Oct 2026). Treat all of it as a specification for the rebuild, not as data.

Freshservice alternative checklist

  1. Write down the capability gap that triggered the search.
  2. Price each shortlisted platform at your full agent count, on the plan with every practice you need, plus add-ons.
  3. Run a test account-wide XML export and check what it contains.
  4. Decide what history moves: full, open work only, or an archive.
  5. Check your API limits and whether an add-on pack is worth it for the extraction window.
  6. Use the updated_since filter so extraction is not limited to the past 30 days.
  7. Export assets per asset type to keep type-specific fields.
  8. Document every workflow, SLA policy and business rule for the rebuild.
  9. Confirm the target's import limits: row caps, attachments, comment visibility.
  10. Plan a test migration, cutover with delta sync, and count reconciliation before sign-off.
