Methodology: This article uses TOPdesk's own pricing page, SaaS information page and documentation, plus G2 and Capterra ratings, all checked on 12 Oct 2026. No vendor reviewed or paid for this article. We did not run hands-on tests.

TOPdesk pricing is per agent, per month, across three plans: Essential at £51, Engaged at £72 and Excellent at £101 (TOPdesk pricing page, as of 12 Oct 2026). Those are list prices in pounds, before tax, and TOPdesk asks buyers with 50 or more agents to request a quote. This guide is for IT leaders who run TOPdesk or are evaluating it. It covers what each plan includes, what is billed on top, how to lower the bill, and what it costs to leave or to stay.

Key takeaways

  • TOPdesk lists Essential at £51, Engaged at £72 and Excellent at £101 per agent per month in GBP (TOPdesk pricing page, as of 12 Oct 2026).
  • Change, problem and SLA management and AI search start at Engaged. Project management, webshop and AI triage are Excellent only (TOPdesk pricing page, as of 12 Oct 2026).
  • Implementation by a TOPdesk consultant carries a surcharge, and no amount is published for it or for most add-ons (TOPdesk pricing page, as of 12 Oct 2026).
  • Downgrades apply only at the end of the contract term; upgrades can happen at any time (TOPdesk pricing page, as of 12 Oct 2026).
  • Asset exports include relationships only when all fields are exported (TOPdesk documentation, as of 12 Oct 2026). Plan your extraction before you give notice.

The short answer: TOPdesk pricing by plan

TOPdesk defines an agent as anyone who can open and adjust tickets. People who only view dashboards are free (TOPdesk pricing page, as of 12 Oct 2026).

PlanList price (GBP, per agent per month)Support hoursWhat TOPdesk's page says it adds
Essential£518/5Incident and asset management, self-service portal, knowledge base, dashboards
Engaged (marked "Most popular")£728/5Change, problem, contract and SLA, and operations management, plus three AI features
Excellent£10124/5Project management, webshop, health check, benchmark reporting, more AI

Currency. The page has a selector for GBP, USD, EUR and CAD. At the page's default agent count on 12 Oct 2026 it showed $64, $91 and $128 in USD and €61, €86 and €120 in EUR for the same three plans. This article quotes pounds and does not convert them. If you pay in another currency, ask for that quote in writing.

Billing terms. The pricing page does not say whether prices assume monthly or annual billing, and it states no minimum term. A TOPdesk cost blog (published 12 Sep 2024, modified 20 Feb 2026) says you can pay monthly or annually, or sign a multi-year contract to reduce costs.

Volume. TOPdesk says the average price falls as you add agents, so list price is a starting point, not a final number.

What the list prices add up to

This table multiplies TOPdesk's list price by an agent count. It is an illustration, not a quote, and it ignores tax, volume pricing, add-ons and implementation.

AgentsEssential per monthEngaged per monthExcellent per month
5£255£360£505
10£510£720£1,010
25£1,275£1,800£2,525

Our calculation from TOPdesk's list prices (pricing page, as of 12 Oct 2026).

The step between plans is the real decision. Engaged costs £21 more per agent per month than Essential, and Excellent costs £29 more than Engaged.

Ratings. Capterra shows TOPdesk at 4.4 out of 5 from 111 reviews, with a value-for-money score of 4.3. G2 shows 4.1 out of 5 from 30 reviews (both as of 12 Oct 2026). Two Capterra reviewers who gave 4 and 5 stars called the product expensive, and one said costs rise with the number of operators. That is reviewer opinion, not a measured finding.

What each plan includes

The choice between TOPdesk plans is mostly a process choice. Ticketing, assets and self-service sit in every plan. Change approval, problem records and SLA management start at Engaged.

All plans share the same platform terms, according to TOPdesk's page: Open API, webhooks, single sign-on, a sandbox environment, 100 GB of free storage with a 2 GB file upload limit, a recovery time objective of 1 hour, and bi-weekly updates at no charge. SOC 2, GDPR and ISAE 3000 compliance are listed for all plans too.

Two details to confirm. The webshop is Excellent only, so check how you would run a request catalogue with ordering on a lower plan. And the page shows live chat inconsistently for Excellent, as an add-on in one table and as included in another. Ask for it in writing.

If your service desk runs change approvals with a CAB, Engaged is the practical floor. If it handles only incidents, requests and assets, Essential covers the core.

Usage-based and add-on charges

TOPdesk says there are no hidden charges beyond the listed prices and that the subscription covers software, hosting, updates and support (TOPdesk pricing page, as of 12 Oct 2026). The same page names several items that cost extra and publishes no price for any of them.

Implementation. TOPdesk's cost blog calls implementation by a consultant the main additional cost, and says later consultancy and integrations may also cost extra (modified 20 Feb 2026). The first quote is the first real number you will see.

Fair use. The page does not define the limit. Storage is linked to the number of agents. Ask what the limit is at your agent count and how overage is billed.

Operator licenses. TOPdesk's documentation shows each operator as paid or free. An operator can show as free when it is an API account or when "Has access" is off, and license changes take two working days to show (as of 12 Oct 2026).

Total cost of ownership factors

The subscription is the number on the page. The full TOPdesk cost is the subscription plus the items below.

Hosting and data handling

TOPdesk SaaS is hosted in Australia, Brazil, Canada, the European Union, Norway, the United Kingdom and the United States, and the customer chooses the location. TOPdesk says data is never moved to another region without written confirmation from the customer's SaaS main contact (TOPdesk SaaS information page, updated 17 Dec 2025, checked 12 Oct 2026). Point-in-time recovery covers the past 30 days. A total data center loss targets restoration within 5 days with at most 24 hours of data loss (same page).

On personal data, TOPdesk's documentation says the default for all card types is to anonymize with a 6-month retention period. The process runs daily and cannot be undone, and anonymized users can no longer log in (TOPdesk documentation, as of 12 Oct 2026). That helps compliance, and it matters if you plan to leave. See the switching section.

How to lower the bill and when to time the renewal

TOPdesk's page gives three fixed facts: upgrades are allowed at any time, downgrades take effect at the end of the contract term, and prices are subject to change (as of 12 Oct 2026). Contract length and notice periods are not published, so find them in your own agreement first.

Count paid operators. TOPdesk's license overview flags when paid operators in use exceed the number in your contract (as of 12 Oct 2026). Remove access for people who left or never log in, and check that API accounts show as free.

Match plan to process. List who uses change, problem, SLA and AI search. TOPdesk's page does not say whether agents can be mixed across plans, so ask. If they can, keeping non-process agents on Essential saves £21 per agent per month at list price.

Decide before the term ends. Because downgrades apply only at term end, the renewal window is your one clean chance to reduce plan level. Review usage at least a quarter ahead.

Negotiate the total, not the rate. Ask TOPdesk to price add-ons you already use, implementation days for any new module, and the multi-year option its blog mentions. A multi-year term lowers the annual cost, according to TOPdesk, and it lengthens the period in which you cannot leave.

Check the AI value. Summarization, writing assistants, triage and Robin are Excellent only. Confirm your team uses them before paying the premium.

Staying is often the right call. If your agent count is small, your processes already run on Engaged and your contract terms are fair, the saving from moving platforms is usually smaller than the one-time cost of the move. A renewal with a trimmed license count and a clear add-on list can capture much of the gain without a migration.

Cost of switching, in or out

Switching has two prices: the one-time cost of the move and the yearly saving that must repay it. The one-time cost is mostly data work and rebuild work, not licenses.

Leaving TOPdesk: what you can extract

SourceWhat TOPdesk documents
Overview exportExports the columns and rows you choose to Excel and needs a specific permission. No row limit is stated, and the page does not say whether comments, actions or attachments are included
Asset exportXLSX, all assets or a selection. Relationships are included only when all fields are exported. Stock card links are never included. Exports cannot be scheduled
AttachmentsCustomers can download attachments at any time
API"The extent of API support differs per process" (VA 2023 R2 documentation, which is older than the SaaS documentation)
After terminationData is deleted. Backups are kept for up to 90 days, and a SaaS main contact can request a copy from TOPdesk Support in a regular file format

Sources: TOPdesk documentation and SaaS information page, checked 12 Oct 2026.

Export before you give notice. The post-termination route depends on a backup request. Run your own extraction and reconciliation while your environment is live.

Choose all fields for assets. Export only the visible columns and you lose the relationships between assets, which are what make a configuration database useful on the next platform. Links to tickets and changes need their own check.

Test the anonymization effect. Archived persons are anonymized after a default of 6 months, and it cannot be undone. TOPdesk's page does not say how this appears on older ticket records. Export a sample of closed tickets and look at the person fields before you rely on them for reporting history.

What moves and what gets rebuilt

Moves with a planned migrationGets rebuilt on the new platformAt risk if not planned
Incidents, requests, problems, changes and notesWorkflows and automationsLinks between tickets, changes, problems and assets
Knowledge articlesSLA definitions and running SLA timersAttachments and their size limits
Assets and CIsChange approval flows, templates and calendarsAnonymized person data on old records
Users and groupsPortal layout, forms and catalogue itemsReports built on old field values

Based on common ITSM migration practice and the TOPdesk limits above. What moves cleanly depends on the destination and on what your export contains.

Workflows, automations, business rules, SLA definitions and running SLA timers are rebuilt on the target platform, not copied. That is true leaving TOPdesk for any destination, and it is where most of the one-time cost sits. A migration specialist such as MigrateX carries the service history across, but the configuration work belongs to your team or implementation partner.

Moving into TOPdesk

TOPdesk publishes no import or implementation price. Before you sign, ask the quote to say whether historical incidents, changes, assets and knowledge are in scope. If they are not, you are buying a clean system and leaving the history behind.

A simple break-even test

Compare your annual TOPdesk bill after rightsizing, the annual bill on the platform you would move to, and the one-time cost of the move including internal time. If the yearly difference does not repay that cost within a period your finance team accepts, stay and renegotiate. If it does, time the move to your renewal date.

FAQ

Methodology

We read TOPdesk's pricing page, cost blog, SaaS information page and product documentation on 12 Oct 2026, and recorded Capterra and G2 ratings on the same date. Prices are TOPdesk's own list prices in the currency the page displayed, and we did not convert currencies. The illustration table is our arithmetic on those list prices. We did not request a quote, run a trial or test an export, so contract terms, volume discounts and add-on prices need confirmation from TOPdesk. Disclosure: MigrateX, the publisher of this article, runs ITSM data migrations, including between platforms named here. No vendor reviewed or paid for this article.

About MigrateX

With 20 years in enterprise ITSM, we've seen what breaks when a service desk changes platforms: SLA clocks reset, CI relationships disappear, and years of ticket history get scoped out to protect a go-live date. MigrateX moves that history intact, with tickets, attachments, relationships and audit trails, so your new platform starts with the record your team already trusts.
